Administrative Assistant


Established, 29-year-old Memphis architectural firm is seeking an Administrative Assistant to begin immediately. The right candidate must possess a high level of professionalism. Our company needs someone who exhibits proven outstanding communication and organizational skills in order to facilitate office functions and to support the principals and staff.  This is a great opportunity to join a firm with proven architectural excellence. Responsibilities and Duties:

·        Answer phones and coordinate communications between clients and staff through telephone, email, and             other forms of correspondence

·        Prepare memos, emails, reports and other documents for staff

·        Schedule meetings and appointments

·        Maintain an organized filing system of paper and electronic documents

·        Maintain office supplies and facilitate equipment repair

·        Uphold strict level of confidentiality

Qualifications and Skills:

·        Three years minimum experience in a similar office environment

·        Proficient in MS Office 365 with concentration in Outlook, Word and Excel

·        Working knowledge of Photoshop and PowerPoint

·        Knowledge of the architectural industry will be beneficial.

·        Outstanding communication skills and ability to converse professionally in all forms including phone,                    email, written correspondences and in person

·        Must be reliable with a strong work ethic and friendly demeanor

·        Professionalism, trustworthiness and organizational skills

·        Working knowledge of a small business phone system

·       Possession of a Notary license is a plus.
