Lamplighter Montessori School is a nurturing and community-focused private school dedicated to providing an exceptional educational experience for our students. We are in search of a dynamic, organized, and passionate Front Office Administrator to join our team and help shape our school’s success, operational efficiency, and compliance. 

Job Summary:

The Front Office Administrator will oversee the school’s daily operations, focusing on safety, compliance, student services, faculty support, administrative functions, and front-office operations. This role requires excellent communication skills, organizational abilities, and a strong focus on customer service. The Front Office Administrator will serve as a point of contact for parents, students, and visitors while also supporting the operational functions of the school.

Key Responsibilities:

  • Answer front office phones, directing calls to appropriate staff members.
  • Greet walk-in parents, students, and visitors in a friendly and professional manner, providing necessary assistance or directing them to the relevant personnel.
  • Coordinate the student sign-in/out process, ensuring compliance with school safety protocols.
  • Ensure all visitors are appropriately following the school’s security guidelines.
  • Address any general inquiries or administrative tasks as needed in the front office.
  • Schedule, coordinate, and run school-wide safety drills, ie. intruder, fire, earthquake, and tornado drills. 
  • Oversee and manage after-school clubs and summer programs to ensure they meet the school’s goals, vision, and community standards.
  • Work closely with faculty to support professional development and compliance.
  • Implement and maintain educational assessments, data collection, and reporting systems to identify student performance.

Management and Development:

  • Support teaching and administrative staff by promoting a culture of respect, grace, and mindfulness in an inclusive and supportive school environment.
  • Assist with hiring and training new staff members.
  • Identify new professional development opportunities for teachers and staff. 
  • Identify areas of improvement and work alongside the administration team to implement new policies or procedures. 

School Operations:

  • Manage the school’s day-to-day operations, including scheduling, facility management, supply ordering & inventory, and resource allocation.
  • Work directly with the Head of School as the primary point of contact for general school communications/reminders.
  • Ensure compliance with state regulations and accrediting organizations.
  • Coordinate with admissions and the Head of School on student enrollment and retention efforts.
  • Maintain accurate student recordkeeping (immunizations, academics, etc.)
  • Respond to service needs, MCC badge and security, visitor and new employee badges, school mail distribution, and other administrative needs.
  • Participate in the morning carline. 

Community Engagement:

  • Develop and maintain positive relationships with parents, schools, and the broader community.
  • Organize school events, parent-teacher meetings, and other community-building activities.
  • Act as a safety and compliance representative of the school in public and community-facing events.

Supervisory Responsibilities:

  • Identify areas of improvement and work alongside the administration team to implement new policies or procedures to improve said areas. 
  • Oversee after-school clubs. 
  • Some weekend or evening work may be required

Qualifications:

  • College degree preferred
  • Minimum of 1 year of experience in an educational leadership role, preferably in a K-12 environment.
  • Strong understanding of educational standards, curriculum development, and best practices in pedagogy. Understanding of Montessori is a plus. 
  • Excellent interpersonal, communication, and organizational skills.
  • Proven ability to lead teams, manage multiple projects, and solve problems creatively.
  • Knowledge of and experience with educational technology and systems is a plus. (Mac computers are used in the school)
  • Passionate about working in a small, close-knit school community.

Salary Range:

  • $40,000 – $45,000 annually

Physical Requirements:
