Event/Volunteer Coordinator

Friends For Life (FFL) is looking for a highly skilled and dynamic Events & Volunteer Coordinator. FFL is interested in someone who will create gatherings that are effective, cost-efficient, and most importantly, memorable. Additionally, the successful candidate will excel at recruiting and training new volunteers, keeping a database of volunteer information, matching volunteers to opportunities that suit their skills, and keeping volunteers informed and engaged.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

MANAGE ALL ELEMENTS OF EVENT PLANNING AND PRODUCTION:
•Serve as lead staff member over FFL signature events – Big Gay Dance Party (2 per year potentially), Dining Out For Life, and Art Dash.
•Effectively negotiate venue and vendor contracts.
•Lead staff member over support to help make APATT (A Place At The Table hosted by individuals) and 3rd party events (hosted by businesses) fun, profitable, and self-reliant.
•Ensure fundraising events are produced within budget, meet financial objectives, and appropriately represent the agency to the community.
•Work effectively with relevant stakeholders to assist with the planning and execution of fundraising events.
•Work non-traditional schedules and transport event materials/equipment.
•Create methods for data tracking and reporting for fundraising events.
•Develop content for event marketing and materials and work with Marketing Manager to produce and launch, ensuring maximum attendance and success.
•Highlight Friends For Life’s mission by incorporating an aspect of our programming in every event.

MANAGE VOLUNTEER ACTIVITIES
•Serve as lead staff member over FFL-wide volunteer activities, coordinating with Human Resources to ensure professional protocols.
•Source and recruit volunteers through various channels (databases, e-mail, social media etc.).
•Collect information on availabilities and skills through our donor database, Network For Good. Arrange for appropriate training when needed.
•Produce schedules for everyday activities.
•Assign responsibilities to the appropriate volunteers for special events.
•Communicate frequently with volunteers to ensure they are satisfied and well-placed.
•Disseminate information for upcoming actions and events. Keep detailed records of
volunteers’ information and assignments.

ADDITIONAL DUTIES AND RESPONSIBILITIES:
•Attend all required staff meetings and trainings
•Other responsibilities as directed

QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge,skill, and/or ability required.

•Proven experience in event planning
•Working knowledge of databases and MS Office (especially Excel)
•Able to communicate effectively with diverse people
•A pleasant, outgoing personality
•Track record of creative, successful events
•Excellent organizational, communication, negotiation, and multitasking skills
•Ability to remain calm under pressure without losing a customer-service oriented attitude
•Some evening and weekend working hours will be required

CERTIFICATES, LICENSES, REGISTRATIONS:
Must have a valid State Driver’s License, provide proof of automobile insurance coverage to employer at all times, and have an automobile to be used frequently. Mileage is reimbursed.

OSHA CATEGORY:
This position performs tasks that may involve exposure to blood, body fluids, or tissues.Training will be provided per standard operating procedure for your area of operation. All FFL employees

are offered the opportunity to receive the Hepatitis B vaccination series.
